Webinar: Scheduler

Planning a fun day where students would rotate sessions? This Add-on will create the schedules for you!

My scheduler Add-on is for premium members only! (That is you!) It allows you to create a schedule for an event where the participants (students or maybe even teachers for a PD) RANK which activities/sessions they want to attend. Then the Scheduler automatically builds the schedule based on room capacity. We will start from scratch and build a fun day schedule so you can see how Scheduler works.

There are many great hacks for you to use Scheduler in your classroom!!

  1. Create a Google Form which collects email addresses AUTOMATICALLY
    1. The FIRST question needs to be "What is your name"
    2. There must be a question that is MULTIPLE CHOICE GRID (does not have to be the 2nd question) where the rows are the session options and the columns are the ranking of choices "first choice, 2nd choice, etc..."
  2. Connect to the SPREADSHEET for the Google Form
  3. Scheduler is a SHEETS Add-on.
  4. Set up the Scheduler in the Extensions menu
  5. You will be prompted for how many sessions the day will have.
  6. This will create a details tab and a schedules tab.
    1. Do not worry about the details tab. That is mostly for your own knowledge. Later, I will incorporate that into a report that doesn't currently exist.
    2. Find the Schedule tab and list who is the teacher/leader of that session and their contact info.
    3. For each session, put the room capacity. If a title is not offered during one of the session times put ZERO to say you have room for zero students.
  7. After setting up the schedule you can finalize the schedule using the Extensions menu
  8. Have students fill out the Google Form.
  9. When you are DONE taking Form submissions you can LOCK the form (it does NOT lock the form... it copies the Form Responses so any new submissions would not be included.)
    1. Locking the Form creates a DATA tab that shows the student preferences.
  10. Use the Extensions menu to run the sessions
    1. Tip... run the 1st session and then run the last session. Then run the 2nd session and then run the 2nd to last session. Otherwise all the first choice picks will be in the first few sessions and the later sessions are all things people wanted to do less. So don't be afraid to slot the sessions out of order.
  11. After filling in all of the sessions, you will want to look for gaps and fill in any holes in the schedule.
